1. Who we are
Salon Factor (“Salon Factor,” “we,” “us,” or “our”) is operated by Salon Factor LLC, a limited liability company organized in Arkansas. We provide booking, scheduling, payments, and client-communication software to independent beauty professionals and salons (our “Customers”). Their clients (“End Users”) interact with our platform when booking and receiving communications from a salon.

2. Scope of this policy
This policy explains how we handle personal information across:
- salonfactor.com — our marketing and account website.
- The Salon Factor application — each salon’s subdomain (e.g.
yoursalon.mysalonfactor.com) or connected custom domain.
For data about a salon’s clients, the salon is the data controller and Salon Factor acts as a service provider / processor on the salon’s behalf. We process that data to deliver the services the salon has engaged us for, and as described here.
3. Information we collect
You provide directly
- Account and business details (name, business name, email, phone, billing address).
- Salon configuration (services, staff, hours, branding).
End Users provide (via a salon’s booking flow)
- Name, phone number, email, appointment details, and notes.
- SMS/marketing consent selections and the disclosure language shown at the time of consent.
Collected automatically
- Device, browser, IP address, and usage data via cookies and similar technologies.
- Log data and diagnostic/error information.
Payment data
Card payments are processed by Stripe. We do not store full card numbers; we retain limited tokens and transaction metadata needed to operate billing.
4. Mobile Information & SMS
This section governs text messages (SMS/MMS) sent through the Salon Factor platform — both transactional messages (appointment confirmations, reminders, changes, receipts) and, where a salon is eligible and the recipient has opted in, marketing messages.
How opt-in works. End Users opt in to text messages from a salon at the point of booking (a separate, unchecked consent control using TCPA-compliant disclosure language that identifies the salon, the message types, that frequency varies, and the STOP/HELP instructions) or where the salon has otherwise obtained the End User’s express prior consent. We log each consent with a timestamp, IP address, the form URL, and the version of the disclosure language shown.
Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time and HELP for help.
No mobile information — including SMS opt-in data and consent — will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors who perform services on our behalf (such as messaging carriers and customer support providers) is limited to what is necessary to deliver the messaging service. All other categories of data use and sharing described in this policy exclude text-messaging originator opt-in data and consent; that information will not be shared with any third parties for their own purposes.
Carrier disclaimer. Mobile carriers are not liable for delayed or undelivered messages.
5. How we use information
- Provide, operate, secure, and improve the platform.
- Send transactional communications you or a salon have configured.
- Send marketing communications where permitted and consented to.
- Process payments and prevent fraud and abuse.
- Comply with legal obligations and enforce our Terms of Service.
6. How we share information
- Service providers / subprocessors acting on our behalf (e.g. messaging carrier(s) such as Telnyx, email delivery, hosting, analytics, payment processing via Stripe), bound to use the data only to provide their service to us.
- Salons (our Customers) receive the data of their own clients.
- Legal and safety — where required by law, to protect rights and safety, or in connection with a corporate transaction.
We do not sell personal information, and — as stated in Section 4 — we do not share mobile/SMS opt-in data with third parties or affiliates for their marketing.
7. Data retention
We retain personal information for as long as needed to provide the services and for legitimate business and legal purposes. SMS opt-in/consent records are retained for at least four (4) years in line with CTIA guidance. Salons may request deletion of their data subject to our legal retention obligations.
8. Your choices and rights
- Marketing emails: unsubscribe via the link in any marketing email.
- Text messages: reply STOP to stop, HELP for help.
- Access / correction / deletion: End Users should contact the salon they booked with; you may also contact us at [email protected] and we will route requests appropriately.
- Depending on your location (e.g. California/CCPA, EU/UK), you may have additional rights to access, delete, correct, or restrict processing of your personal information.
9. Security
We use administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure.
10. Children’s privacy
The platform is not directed to children under 13 (or the minimum age in your jurisdiction), and we do not knowingly collect their personal information.
11. Changes to this policy
We may update this policy from time to time. Material changes will be posted here with a new “Last updated” date.
